Scheduling Coordinator

With guidance and support from the Manager, Clinics & Scheduling, the Scheduling Coordinator is responsible for the scheduling of all Field Nurses’ appointments with patients and ensuring scheduling is done accurately. 

Additionally the Scheduling Coordinator is responsible for scheduling Field Nurses with guaranteed hours for the full amount of hours or as close to as possible to ensure effective use of time and resources. The Scheduling Coordinator reports to the Manager, Clinics & Scheduling.


•         Creating and maintaining Field Nurse Appointment Schedule; ensure all available time-slots are filled appropriately for all programs

•         Ensuring that all communication referred by Patient Programs personnel (Case worker or Managers) are dealt with in a timely manner resulting either in new appointments or re-scheduling of patients

•         Confirming recurrent appointments and informing the Nurse Clinic team;

•         Collaborating with the Nursing & Clinics Management Team regarding scheduling processes and new initiatives

•         Identifying scheduling challenges and working with the department managers to find solutions

•         Maintaining records of Field Nurses’ availability

•         Preparing Field Nurse travel requisition forms including travel expenses for special appointments

•         Implementing scheduling procedures as per management request; and

•         Providing training to back up staff as requested by the Manager and / or Director.

•         The Scheduling Coordinator will also be assigned other duties and tasks as required from time to time

Job Requirements


•         Post-secondary education or equivalent in a related discipline

•         Minimum of 2 years’ experience in the healthcare, pharmaceutical or biotechnology industry (or similar)

•         Candidate must have strong communication and interpersonal skills

•         Strong proficiency in Microsoft applications (Outlook, Word, Excel, Internet Explorer, PowerPoint)

•         Proven ability to organize time, set priorities and multi-task in order to meet various competing work deadlines

•         Ability to work in a team environment

•         Ability to work in a fast pace environment; Attention to detail

•         Adaptability to change and to learn new skills as required; and

•         Bilingualism, French/English both written and spoken


•         Advanced knowledge of pharmaceutical distribution industry

•         Working knowledge of automated warehouse operating system

•         Strong business and financial acumen

•         Strong analytical and mathematical skills

•         Ability to communicate effectively both orally and in writing

•         Effective interpersonal and leadership skills

•         Effective organizational skills; attention to detail

•         Ability to consistently meet deadlines

•         Excellent problem-solving skills; ability to resolve issues effectively and efficiently

•         Excellent presentation skills

•         Knowledge of Microsoft Word, Excel, PowerPoint and other Office Programs
