Job Description

Under the direction of the Manager of Scheduling, the Associate Manager of Scheduling will work within the Scheduling & Operations team in the execution of and process improvements in Nursing and Clinic Services.
  • Oversee scheduling team members, assist in strategic direction and develop performance standards with ongoing reviews in collaboration with the Manager of Scheduling
  • Responsible for workload coordination for scheduling team in consultation with Manager of Scheduling
  • In collaboration with nursing management team, accountable for achieving expense, mileage, and overtime reduction targets
  • Executes month end billing and invoicing for nursing and scheduling services division
  • In collaboration with regional nursing management staff, assists with coordination of nurse vacation time and coverage
  • In collaboration with regional nursing management team, coordinates the assignment of homecare appointments to minimize travel time and km travelled by nurses
  • Provides data and operational updates as requested to managers and business analytics to support departmental KPI reporting and decision making
  • Collaborates in the establishment and review of new or updated standard operating procedures for scheduling coordination and nursing services
  • Consults Manager of Scheduling on any identifiable concerns pertaining to scheduling coordinators and or the actual scheduling of patient appointments
  • Participates in discussions and strategic planning sessions for the implementation of new business processes
  • Manages accurate and timely processing of scheduling activities in compliance with internal and external expectations
  • Liaise with internal stakeholders in consultation with Manager of Scheduling to improve efficiencies within the organization
  • Assigned other duties and tasks as required from time

Job Requirements

  • A college diploma/University degree and/or an equivalent combination of experience and education are required
  • 3 to 5 years of experience in healthcare/pharmaceutical related field
  • 3 years + people management experience
  • Fluency in French and English
  • Knowledge of field Patient Support Programs (PSP), database elements and functionality
  • Process Improvement, accounting/billing experience an asset
  • Strong customer/client management background
  • Problem solving skills with demonstrated record of critical thinking
  • Results oriented; resolve associate issues effectively and efficiently
  • Strong leadership qualities, promote team environment
  • Strong interpersonal skills, ability to communicate effectively in both languages
  • Excellent organizational and attention to detail skills
  • Advanced technical skills; Microsoft Office
  • Strong analytical and mathematical skills
